Quit Job Letter

A quit job letter is also known as a resignation letter and serves to provide formal notice that you will be leaving your current position. The exact reason why you are leaving, be it due to differences with the company or a new job opportunity elsewhere, is usually included. The goal of this letter is to thank your employer for the opportunities provided, explain when you will be leaving, and to be as gracious as possible regardless of the reason why you are quitting.

Format and Content

The standard letter includes an official listing of your position, your effective end date, and some up to date contact information that can help individuals in your old job reach you should there be any questions or problems. The letter will be going to your immediate supervisor, and a copy should be sent to your human resources office as well. If you wish to indicate a reason for leaving, you should do so in a neutral way. The goal of the quit job letter format is to remain factual and respectful, giving the information needed while thanking your employer on the way out. By remaining graceful in your letter and making all details clear, you will be able to earn more respect from your former colleagues, which may be useful in the future no matter where your next position brings you.

This sample comes from an employee who has been employed with the company for five years and who is now moving on to a new position with another firm. This quit job letter sample serves as the official letter of resignation for the employee. Note that this letter is addressed to the employee’s immediate supervisor, with a copy also sent to the human resources office. In the case that a person has more than one immediate supervisor, each should receive a copy in order to minimize confusion. In these cases, the personalized greeting line can be replaced with, “To Whom it May Concern.”

Dear Ms. White,

I am writing to inform you that I am resigning from my position as Executive Assistant for Company A. My resignation will be effective beginning September 2, 2013.

I greatly appreciate the opportunities that have been made available to me during my five years with this company. The experiences that Company A has given to me have been extremely helpful in both my personal and professional development. I am moving on to a new opportunity with the Nouveau Foundation, but hope that our paths will cross again in the future.
