Event Thank You Letter

An event thank you letter is typically written by an event organizer to an individual or corporation that donated money or in some way supported a particular event. Often organizers of special events are raising money for a particular volunteer organization, a charity, a political candidate or some other cause.

Sample:

This sample event thank you letter is for the president of a corporation that supported events that raised money for an orphanage in Uganda where children have been left without parents due to an ongoing AIDS epidemic. The corporation donated money and gave employees time off to participate in fundraising events.

Dear Ms. Avery:

I want to express my sincere appreciation to you and your employees for the tremendous support of our recent fundraising activities for orphaned children in the African country of Uganda. Through your efforts and those of other individuals and corporations in the community, we were able to raise just under one million dollars that will go toward feeding, housing, clothing and educating the many children left in Ugandan orphanages as a result of the deaths of both of their parents due to the AIDS epidemic in that country.

We thank you and your corporation for the generous check of $35,000.00. In addition, your employees raised another $32,111.02 by participating in our 5K run, our dance contest and our silent auction. It was an exciting week of successful fundraising activities. A large portion of our total funds raised is a direct result of work by your company or employees. This will make a positive impact on the lives of many orphaned children in Uganda.

Throughout the course of the next year we will send you pictures of the children and the necessities that your money purchased for them as well as a financial report documenting how every penny raised is spent. The ABC Fund prides itself on having one of the smallest percentages of administrative costs of any charity. This is due to the generosity of our many volunteers which enables us to employ a very minimal paid staff.

There are approximately 1.2 million children under the age of 18 who have been left orphaned in Uganda due to the deaths of both parents from AIDS. The efforts by the ABC Fund and other charitable organizations to educate Ugandans about the danger of the disease has helped to decrease the number of AIDS deaths and reduce the number of children going into orphanages. There is still a great deal of work left to be done in Uganda and we hope we can count on you, your company and your employees for help in continuing to care for and educate Ugandan orphans.
